Letting agent software in Scotland: an honest buyer's guide

Scottish agencies work to rules England doesn't have: letting agent registration, the Letting Agent Code of Practice, the Repairing Standard and, from 6 October 2026, the Awaab's Law damp and mould timescales. Choose software by which of those jobs it takes off your team, and by whether repairs get answered and tenants kept informed without anyone chasing.

What a Scottish agency needs software to help with
- Written repair procedures with target timescales. "Your procedure should include target timescales for carrying out routine and emergency repairs" (Code para 86).
- Telling the tenant the action and likely timescale (Code para 91).
- Delay notices with reasons, "as soon as possible" (Code para 93).
- Records of work (Code para 85).
- Damp and mould clocks: investigation within 10 working days, a written summary within 3, and repairs started within 5 where substantial damp or mould is found (gov.scot guidance 2.5).
- Timely replies: "You must respond to enquiries and complaints within reasonable timescales" (Code para 108).

Questions to ask any vendor
- Does it handle Scottish rules: PRTs, letting agent registration, the Repairing Standard, Awaab's Law?
- Can it follow our written procedures, or only its own workflow?
- Which channels reach tenants and landlords?
- Does a person approve outgoing messages?
- Does it replace our CRM, or work alongside it?
- Where is our data stored?
- What do you charge, and what is the notice period?
- Can we see it run on one of our own example repairs?
Where Lorework fits (and where it doesn't)
Lorework doesn't replace your CRM or your repairs portal. It works in the web systems you already use, learns your procedures and templates, and does the follow-ups, updates and checks on schedule, with approval before it writes or submits anything. If you need a full accounting or tenancy-management system, choose one of those first. Lorework works alongside it.

Questions
Is there letting agent software built for Scotland?
Yes. Several vendors market Scotland-specific products, including Saltire Systems, imob-crm and Propflow, according to their own websites. See the table above.
Do I need separate repairs software?
It depends. A dedicated repairs platform gives you a reporting portal and contractor workflow. A CRM with a maintenance module keeps everything in one system. A coworker like Lorework works across the tools you already have. Ask each vendor the questions above.
Can these tools send messages to tenants without a person checking?
It varies by vendor, so ask. With Lorework, you can require approval before it writes or submits anything.
What does the Code require from our systems?
Para 85 says that where you manage statutory repairs, maintenance or safety checks for a landlord, you must have appropriate systems and controls in place to get them done to an appropriate standard within relevant timescales, and keep relevant records of the work. Para 86 requires written procedures for reporting repairs, which should include target timescales.
